Frequently asked questions
When can I start?
Customer onboarding opens in Q1 2027, timed to the Machinery Regulation (applies from 20 January 2027) and the EU battery passport (February 2027). Applications are reviewed now: we run one of your own spec sheets through extraction, audit, and compliance, agree the scope of your first product line, and hold your place and your Charter rate for the first cohort. In the meantime you can run an EU DPP readiness check on any spec sheet at /dpp-check, no account required.
What is a product SKU in SpecMake?
One SKU = one product record maintained in your SpecMake catalog: the structured, audited, exportable version of one of your products. Your plan determines how many SKUs you can maintain at once.
What counts as a document?
A document is one source file you upload (PDF, DOCX, or XLSX). A spec sheet for one product becomes one product record, one SKU, even when it lists several sizes or variants of that product; when you sync it to Akeneo, each variant can go in as its own product. A revision of a product you already have does not add a SKU when it is uploaded as a new version of that product, or linked to it from a suggestion SpecMake makes.
What about revised spec sheets for the same product?
Upload the revision from the product's page as a new version: it becomes that product's current record, earlier versions stay on the product, it is audited like any upload, and it does not add a SKU. Uploading exactly the same file again also joins its product. Any other file uploaded on its own is a new product, because two different products often share a file name. When SpecMake sees a likely revision (a new upload whose file name matches a file in one product of your library, or products with the same manufacturer and model on the Products list), it suggests linking the two. Linking makes them one product and one SKU, and a link can be undone from the product page. Until a revision is linked it counts in your SKU total, but SKUs are priced in whole blocks, never one at a time: a further block is added only once you agree, and linking a suggested revision takes it back out of the count.
Can I re-process my whole catalog as regulations change?
Yes, that is the point of an ongoing subscription. We check the regulations and DPP categories we cover against their official sources every month and update the rule set by hand, with a person reviewing each change. When the rule set changes, every product in your catalog is re-scored against the new version without re-running extraction, so it is not metered and you see which products the change affected. When a source document itself changes, you upload the revision as a new version of that product: it becomes the product's current record, earlier versions stay on it, and it does not count as a new SKU. Re-processing is covered by your plan under the fair-use terms: re-scores and exports never stop, and new processing pauses only when a catalog runs well past its plan size or for automated usage far outside ordinary use; we are notified when that happens and get in touch with you.
How are files with multiple products handled?
When SpecMake recognises that a file describes several distinct products, it offers to split it into one record per product, so each gets its own compliance check and DPP readiness score; each product then counts as a SKU. Recognition is deliberately conservative, so a file it does not recognise stays one record. A large selection catalog, with hundreds of orderable variants in one file, is scoped with you on your first call, because it is better onboarded as many product records than processed as one document.
Do re-exports or re-downloads cost anything?
No. Once a product is processed, you can re-export PDF, DOCX, Excel, JSON, or JSON-LD as many times as you want, in any of the supported languages. Extraction runs only when you upload a file, an original or a new version; re-exports and rule re-scores never re-run it.
What output formats are included?
All plans include every output format: PDF, DOCX, Excel, structured JSON, and JSON-LD (mapped to schema.org Product vocabulary, ready to map into a DPP platform). You can also export audit reports and compliance check results alongside the structured data.
Is SpecMake a datasheet generator?
No, it works in the opposite direction. A datasheet generator starts from product data you already have and lays it out as a branded document. SpecMake starts from the documents you receive (supplier PDFs, spec sheets, mill certificates) and turns them into structured, audited, compliance-checked product data. Clean PDF and DOCX exports with your own template are included as outputs, but the core job is reading and verifying documents you didn't write, not designing ones you did. If your product data is already clean and structured and you only need it laid out on a branded page, a datasheet generator is the right tool and SpecMake is more than you need.
What happens if I exceed my SKU limit?
When your catalog passes your plan size, we get in touch. The next block of 1,000 SKUs (€1,000/mo on Professional) is added only once you agree, priced pro rata from that day to your renewal date, so your contract keeps a single renewal date. At renewal, your plan is sized to your catalog again, up or down. Without a new block, your catalog keeps running up to 20% above your plan size; past that, new uploads pause, while your existing catalog, its re-scores and its exports keep running. SKUs are never billed one at a time. Above 5,000 SKUs, we quote your catalog.
Are there setup or onboarding fees?
No setup fee on Pilot or Professional. Enterprise plans and Charter Customer engagements may include a one-time onboarding fee scaled to catalog size and integration scope, always discussed and agreed in writing during the first call, never added silently to your invoice.
Are plans monthly or annual?
Plans are billed annually, shown as the monthly-equivalent (e.g., Professional for 1,000 SKUs at €2,500/mo = €30,000/year). An annual agreement lets us invest in proper onboarding for every customer and matches how DPP compliance actually works: an ongoing obligation tied to regulatory deadlines, not a one-off task.
Can I see it work on my own documents before I commit?
Yes, that's the point. Send us a representative spec sheet and we'll run extraction, audit, and compliance on your actual document, then walk through the results together. You see exactly how SpecMake handles your formats, your terminology, and your regulatory fields before anything is signed. How does the Charter Customer Program work?
Charter Customers receive 25% off subscription pricing for 6 months (e.g., Professional for 1,000 SKUs at €1,875/mo instead of €2,500/mo; a larger catalog gets the same 25% off its price) on a 6-month minimum commitment. In exchange, we ask for case-study rights, a monthly 30-minute feedback call, and permission to use you as a reference customer. The cohort is capped each round; if it’s full when you apply, you go on the next round’s waitlist.
What file formats are supported?
Upload PDF, DOCX, and XLSX files, up to 20 MB each in the app (4.5 MB through the API and on the public readiness check); a spreadsheet or document that expands past 100 MB once unpacked is refused. Scanned PDFs are supported via vision analysis. Output is available as PDF, DOCX, Excel, structured JSON, or JSON-LD (mapped to schema.org Product vocabulary).
Which languages are supported?
SpecMake supports 14 languages: English, German, French, Spanish, Portuguese, Italian, Dutch, Romanian, Polish, Czech, Slovak, Croatian, Slovenian, and Turkish. More languages are planned.
How does the price compare to doing it by hand?
Professional is €30,000 a year for a catalog of 1,000 SKUs, so at a full catalog that is €30 per product per year; at 5,000 SKUs it is €78,000 a year, €15.60 per product. Whether that beats structuring and checking one spec sheet by hand is a division you can do against your own loaded rate, and agency translation is not in the by-hand figure. The arithmetic is only the floor. What keeps a subscription in place is the part above it: a catalog that re-scores against the rules as they change, with the gaps named per product.
What is supplier comparison?
Select 3–10 processed documents and get an auto-aligned comparison table. Every specification is matched across suppliers with unit normalization (350 bar = 35 MPa), numeric min/max highlighting, and gap detection. Export as CSV for your procurement workflow. Do you have an API?
Yes. REST API with Bearer-token auth is included from the Pilot plan (Pilot, Professional, Enterprise, and Charter Customer). Rate limits: 10 requests/min POST + 300 requests/min GET on Pilot and Professional, 20 requests/min POST + 300 requests/min GET on Enterprise and Charter. Per-minute limits exist only to prevent accidental cost spikes from misconfigured retry loops.
What is the compliance cross-check?
Every document is automatically checked against the regulatory frameworks that apply to it, out of 9: CE Marking, REACH, RoHS, ATEX, the Machinery Regulation, the Construction Products Regulation, the VOC Paints Directive, IP Rating (IEC 60529), and general product safety. Missing certifications and threshold violations are flagged. On a Pilot, the checks cover CE, REACH, RoHS, IP rating and traceability plus the modules your product line needs. This is a documentation readiness check: it verifies your spec sheet mentions the required information, not whether the product itself is compliant.
What is DPP readiness scoring?
Score your extracted data against EU Digital Product Passport requirements. Select a product category (batteries, iron/steel, construction products) and see which DPP attributes are present and which are missing. Based on published EU regulations, updated as delegated acts are finalized.
